This Refund & Cancellation Policy explains how cancellations, refunds, and project termination are handled by MatStudio ("MatStudio," "we," "us," or "our").
By purchasing services from MatStudio, you acknowledge and agree to this policy, subject to any rights you may have under applicable law.
1. Payment Structure
Unless otherwise agreed in writing, MatStudio requires:
50% Deposit: 50% of the total project price is required before work begins.
50% Final Payment: The remaining 50% is due upon completion and before the final product is uploaded, deployed, transferred, or otherwise released to the Client.
2. Deposit
The initial 50% payment secures the project and allows MatStudio to allocate time, resources, and development/design work to the Client's project.
Once work has commenced, the deposit is generally non-refundable, except where MatStudio agrees otherwise or where a refund is required by applicable law.
The deposit may cover work already performed, planning, project setup, design concepts, development work, scheduling, administrative expenses, and time reserved for the project.
3. Client Cancellation Before Work Begins
If the Client cancels the project before MatStudio has started work, the Client may request a refund of the deposit.
MatStudio will determine the amount refundable based on whether any work, planning, preparation, purchases, or other project-related expenses have already been incurred.
Any non-refundable third-party costs will generally be deducted from any applicable refund.
4. Client Cancellation After Work Begins
If the Client cancels after work has begun, the initial deposit may be retained by MatStudio.
If work completed at the time of cancellation exceeds the value of the deposit, MatStudio may require payment for the additional work completed, subject to applicable law and the agreed project terms.
MatStudio may provide the Client with completed work only after all applicable outstanding payments have been received.
5. Failure to Provide Content or Feedback
If a Client fails to provide required content, information, approvals, or feedback necessary to complete a project, the project may be placed on hold.
Extended inactivity may result in the project being considered cancelled or terminated.
MatStudio may retain payments already received to compensate for work performed, resources committed, and time reserved.
If the Client later wishes to restart the project, MatStudio may require a new timeline, updated quotation, or additional payment.
6. Revisions and Refunds
A Client is not entitled to a refund solely because they dislike a completed design or website where MatStudio has delivered work substantially consistent with the agreed project scope.
MatStudio will provide the revisions included in the purchased package or project agreement.
Requests outside the included revision allowance may result in additional charges.
7. Final Payment
The final 50% payment is due when the agreed project is substantially completed and ready for final delivery or deployment.
The final product may not be uploaded, deployed, transferred, or released until the outstanding balance has been paid in full, unless MatStudio agrees otherwise in writing.
8. Refund Requests
Refund requests should be submitted to MatStudio in writing and should include:
- Client name;
- Business name, if applicable;
- Project name;
- Date of purchase;
- Reason for the refund request; and
- Any relevant supporting information.
Refund requests must be submitted in writing within seven (7) days of the event giving rise to the request (for example, the date of cancellation or termination). Requests submitted after this period may not be considered, except where required by applicable law.
MatStudio will review refund requests on a case-by-case basis where appropriate.
9. Approved Refunds
Where MatStudio approves a refund, the refund will generally be issued using the original payment method where reasonably possible.
Approved refunds will generally be processed within fifteen (15) business days of approval.
Processing times may depend on the payment provider or financial institution.
Third-party payment processing fees may be non-refundable where permitted by applicable law.
10. MatStudio Cancellation
MatStudio reserves the right to cancel or terminate a project where:
- The Client fails to make required payments;
- The Client repeatedly fails to communicate;
- The Client fails to provide required materials;
- The requested work is unlawful or inappropriate;
- The Client materially breaches the Terms of Service;
- The Client engages in abusive, threatening, fraudulent, or discriminatory conduct; or
- Circumstances outside MatStudio's reasonable control make completion impractical.
If MatStudio terminates a project for reasons unrelated to Client conduct or breach, MatStudio will review the payments received and determine whether an appropriate refund is warranted, subject to applicable law and work already performed.
11. Third-Party Products and Services
Fees paid to third-party providers, including domain registrars, hosting companies, software providers, plugins, premium assets, subscriptions, or other external services, may not be refundable by MatStudio.
Where applicable, refunds for third-party services are subject to the third party's own refund policies.
12. Automation Services and External Platform Costs
Automation projects may involve discovery, account connection, workflow design, mapping, configuration, testing, troubleshooting, and deployment. Once this work has begun, fees attributable to work already performed are subject to the cancellation and refund provisions of this Policy and may not be refundable except where required by applicable law.
Fees paid to third-party automation platforms, API providers, CRM systems, scheduling tools, email or messaging providers, premium connectors, subscriptions, usage credits, or other external services are governed by the provider's terms and generally are not refundable by MatStudio.
Changes by external providers, including API changes, discontinued features, account restrictions, plan limitations, pricing changes, or service outages, do not by themselves create a right to a refund for automation work that MatStudio has already properly performed. Additional work required to restore or reconfigure an integration may be quoted separately unless covered by an ongoing support agreement.
13. Website Deployment
If a Client cancels before final deployment, MatStudio may withhold deployment until outstanding payments or other contractual obligations have been satisfied.
Where the Client has received access to or control of the website or associated files, cancellation does not automatically eliminate any outstanding payment obligations.
14. Chargebacks
Clients should contact MatStudio before initiating a payment dispute or chargeback.
Unauthorized or fraudulent chargebacks may result in the suspension of services and may be disputed by MatStudio using relevant project records and payment documentation.
Where a chargeback is later found to be unauthorized, fraudulent, or otherwise without merit, MatStudio may charge an administrative fee to cover the time and documentation costs of disputing the chargeback, in addition to any other remedy available to MatStudio.
Nothing in this section limits any legal rights available to the Client.
15. No Guarantee of Results
Payment for services is payment for the agreed professional services and deliverables, not a guarantee of business results.
For example, MatStudio does not guarantee that a website, SEO service, graphic design, automation, integration, or marketing-related deliverable will produce a particular amount of:
- Revenue;
- Sales;
- Leads;
- Traffic;
- Search engine rankings;
- Followers; or
- Other business results.
16. Consumer and Legal Rights
Nothing in this policy is intended to remove, restrict, or waive any rights that cannot legally be excluded under applicable law.
Where mandatory consumer protection or other applicable legal requirements provide a Client with rights beyond this policy, those rights will continue to apply.
17. Changes to This Policy
MatStudio may update this Refund & Cancellation Policy from time to time.
The latest version will be posted on the MatStudio website.
18. Taxes
Unless stated otherwise in writing, all prices quoted by MatStudio are exclusive of applicable General Sales Tax ("GST"). Where GST has been correctly charged and remitted on a project, it will not be refunded except where required under the General Sales Tax Act, Chapter 63 of the Laws of Belize.
